Under the direction of the Business Director, the Accounts Director is responsible for the organization, management, and cause-driven communication of YMCA programs to Y members, program participants, and the community. Specifically, this position focuses on childcare accounts and billing operations. The position oversees the collection efforts for thousands of member accounts. The Accounts Director is also responsible for the supervision of the administrative/collections staff (4-6 employees). This position works independently, under general direction, and exercises judgment and independent discretion in developing relationships with Y Members, customers, and staff; ensuring proper hiring and training; staff coaching and guidance; monitoring and evaluating current billing and basic accounting methods; marketing, promoting and communicating Y programs; and working collaboratively with colleagues to accomplish collective goals.


Under the guidance of the Business Director, the Accounts Director is responsible for the overall management and smooth operation of the financial collection process for all of Program Services’ programs.

The member and customer relations aspect of this position requires that relationship building is a top priority at all times, attending to the needs and requests of members, program participants, volunteers, and all people associated with the YMCA in a courteous and friendly manner.

Specific Duties:

  • Manages the collections process to ensure compliance with applicable laws, efficient use of YMCA resources, and professional member relations while timely collecting on member accounts
  • Effectively selects, trains, develops, manages, and evaluates administrative team to achieve business objectives and demonstrate care and professionalism with customers
  • Monitors and updates all YMCA childcare accounts
  • Ensures compliance with performance management processes and team objectives
  • Monitors daily operations to adhere to YMCA’s Best Practices on Customer Service
  • Enforces compliance with standard Daxko accounting systems and operating procedures
  • Serves as a lead for Daxko system rollouts in billing and collections manager operating systems
  • Oversees billing functions, including all billing and collection preparation and distribution.
  • Troubleshoots and resolves billing related concerns and complaints through interpretation of company policies
  • Responsible for cash handling, including participant payments and weekly Shift Close-Outs
  • Manages Program Services Billing & Collections to ensure a collection rate of 97% or higher
  • Provides accurate and timely program communication to YMCA staff, Directors, and Executives
  • Responds to all member and participant inquiries and complaints in timely manner
  • Understands business requirements, strategies and goals. Proactively identifies solutions to issues/concerns and implements changes.
  • Participates in development, tracking, and evaluation of strategic planning initiatives.
  • Manages high volume accounts with experience with partial payments, non-payment and collections
  • Participate in the development and implementation of billing, collections and reporting systems
  • Ensures and monitors the completion of child care registrations.
  • Exceeds expectations of our members, Y families and customers.
  • Assists and implements recruitment strategies, including flyer delivery, job fairs, Y special events, and outreach events
  • Monitors and approves weekly schedules and payroll in adherence with program budgets
  • Participates in Program Services and YMCA of Austin association special events
  • Serve as an exempt staff member to the YMCA of Austin, performing those duties as assigned by Business Director and Branch Executive Director 
  • Actively and enthusiastically supports the Branch and Association goals and directions through effective completion of tasks and verbal display to peers, staff, members and guests.

  • Education - Bachelor’s degree from a four year college or university in education, business, human services, non-profit management, or related field.
  • Language - Bilingual (English and Spanish) both written and spoken is preferred but not required.
  • Experience – Previous office and administrative experience, including experience supervising others. Previous YMCA experience strongly preferred.

    • Ability to deal with problems involving several concrete variables in standardized situations.
  • Certifications: - Required to complete the following online trainings upon hire: Child Abuse Sexual Prevention, Appropriate Touch, Bloodborne Pathogens, Foundations of Listen First, and Intro to Cause and Culture.

The salary range for this position is $35,000 to $38,000, depending on experience with a full benefits package including medical, dental, and vision insurance plus employer-matched retirement upon reaching eligibility.
